Enterprise Assessment Platform — Redesigning legacy search
Transforming a clunky legacy assessment portal into an efficient, scalable enterprise system
Overview
A legacy responsive web application for managing clinical assessments: ineffective search, no clear hierarchy, dense tables and unclear navigation labels meant clinicians spent time hunting for records.
Presented in generalised form. Stakeholder workshops and field observation shifted the scope from a cosmetic facelift to a full workflow redesign built on discoverability and efficiency.
Problem statement
The mandate was “make it modern”; the audit said otherwise
Users mentally scanned dense tables with mixed typography and inconsistent controls. Filters were missing, search was underpowered and navigation labels gave no confidence about location. The true problem was workflow, not visuals.
Goals
Business, user and product goals
Business: reduce time to locate records and cut training overhead so staff spend less time on the interface. Users: search and navigation that works the way they think, with filters and facets they do not have to guess at. Product: a content architecture that scales as features grow.
Discovery
Seven steps, grounded in real workflows
Stakeholder workshop, legacy workflow review in FigJam, user interviews with clinicians and ops staff, task analysis, a heuristic UX audit, insight synthesis and opportunity framing focused on search and navigation.
- Persona: Dana, Enterprise Operations Specialist — audits and verifies records daily
- Pain: ambiguous nav labels, missing filters, long unscannable lists
- Insight: users needed context in search, not more results
- Insight: density forced cognitive load and manual scanning
Design decisions
From taxonomy to intent
Progressive search with live suggestions and autocomplete cut guesswork and spelling errors. Real-time facet filters with result counts let users refine in place instead of starting over. Tables were reworked to prioritise key columns, allow sorting and collapse rarely used fields, with a fixed, function-grouped side menu and breadcrumbs restoring a sense of place.
Craft & collaboration
Clarity over decoration
A restrained component library with ample whitespace and large type — in enterprise tools, information density and task efficiency matter more than ornament. Weekly sprints with shared Figma files and Storybook components kept PM, engineering, QA and compliance aligned through to launch.
Outcome
Qualitative impact, no vanity metrics
Improved discoverability through search and filters, workflow clarity that matches user logic, and a scalable, consistent interface ready for future modules. Outcomes are described qualitatively — no invented numbers.
